TRANSFORMED THERAPY NEW ZEALAND TERMS, CONDITIONS AND POLICIES

OUR TEAM AND SERVICES

Transformed Therapy New Zealand is led by Sophie Watson, who holds the following qualifications:

  • Qualified Counsellor

  • CCI Certified Eating Disorder Recovery Coach

  • Qualified Nutritionist

  • Certified Personal Trainer​

Sophie is the sole provider of counselling, nutritional support, personal training, clinical supervision, and consultation services within Transformed Therapy New Zealand.

Transformed Therapy New Zealand also works with a team of eating disorder recovery coaches who operate exclusively within the scope of eating disorder recovery coaching. Recovery coaches do not provide counselling, nutritional advice, personal training, clinical supervision, or consultation services.

When you engage with Transformed Therapy New Zealand, you will be informed of which team member you are working with and the scope of their qualifications and services. If you have any questions about who is providing your service, please contact us at sophie@transformedtherapy.com prior to booking.

Please read all of the following carefully before proceeding to payment. Section 1 applies to everyone.

 

Once you have read Section 1, please proceed to the section that applies to your service type.

SECTION 1: GENERAL TERMS

Applies to all clients, supervisees, and consultees

ACCEPTING TERMS AND CONDITIONS

By completing payment, the Client (the party undergoing the service and/or the party paying for the services — if different) BOTH agree to our terms. By doing so, the Client acknowledges that: (1) he/she/they has read the terms; (2) the Client understands, accepts, and agrees to abide by the terms hereof.

ACKNOWLEDGEMENT

We recommend all clients have a medical check-up prior to starting any new program or therapeutic work. By accepting these terms and conditions, the Client understands it is their responsibility whether or not they choose to have this check-up, and that any health issues or mental illnesses prior to or throughout the program must be shared with Sophie and/or her team.

The Client understands that the team at Transformed Therapy New Zealand are not medical physicians. Services provided include therapy, nutritional support, eating disorder recovery coaching, and fitness services only. If the Client has any queries or concerns regarding nutrition or health, they will inform the team at Transformed Therapy New Zealand immediately. For medical advice, the Client knows to seek their doctor for further assessment and to share these results with Sophie and/or her team as needed.

By accepting these terms, the Client agrees not to share any log-ins, products, plans, or other specifically provided services or materials, or sell these to anyone else. Questions or concerns are to be emailed to sophie@transformedtherapy.com and are NOT to be shared on any social media platforms. By purchasing any product or service, the Client understands that any slander of Transformed Therapy New Zealand on social media may constitute defamation and cause harm to the business.

By signing up to our packages, programs, or services, the Client gives permission to be added to our mailing lists. It is essential to remain subscribed to our mailing lists in order to communicate with us. If you are an active member, please do not unsubscribe as this is part of the service. Upon cancelling, you may unsubscribe at the bottom of our emails. Please note you may be signed up to different mailing lists depending on the programs, products, and downloads you have been provided with — you may need to unsubscribe a few times.

PAYMENTS

One Off Session/Service Payments Payments for one-off sessions and services must be made before the session is due to start. If payment has not been received, the appointment will be rescheduled.

Pay In Full Payments Should the Client pay in full for a package, the same terms and conditions apply. The Client will be required to stay on board for the duration of the service and/or program. We will contact the Client at the end of the term to discuss how to continue.

Payment Plan

By choosing a payment plan, the Client agrees to make all payments until the full payment cycle has been completed. The Client shall not threaten or make any chargebacks to the business's account or cancel the credit card provided as security without the business's prior written consent.

All sales are final with a no-exception refund policy. Refunds will not be processed if the service is not being used. Failure to pay for the package's minimum term or one-off service will result in debt collection agency recovery, which will include additional fees and legal action. The business does not offer refunds to ensure that clients are fully committed to the purchased package or product. There are no exceptions to the refund policy.

Referral Payments

Clients who refer others who successfully sign on to a 1-year Individual (1-on-1) therapy or professional supervision package will receive $100 as a thank you. This payment will be made after the referred person has made their first payment.

Online Bookings and Payments

Online bookings and payments are processed via Stripe and direct debit. To deliver safe transactions, we use a third party to process subscriptions, products, events, and online purchases. Please understand that if you are querying a payment, we may need to seek their expertise and will respond as soon as we are able.

CANCELLATIONS AND SCHEDULING

Please keep in mind that all appointments are in current New Zealand time. Please check your own timezone before booking to ensure you can attend.

We understand that clients have busy schedules and we take pride in not keeping them waiting or running longer than planned. Standard session lengths are as follows:
 

  • Individual therapy and group calls — 50 minutes

  • Initial meal plan and initial fitness plan consultations — 60 minutes

  • Follow-up consults for fitness and meal plans — 30 minutes

  • Personal training sessions — 70 minutes
     

  • Clinical supervision sessions — 50 minutes

  • Consultation sessions — 50 minutes
     

We require 24 hours' notice to reschedule or cancel any appointment. Cancellations received with less than 24 hours' notice will be treated as a no-show. The session will be deducted from available sessions within a package, or if it is a one-off session, the full fee will still be charged and the Client will need to repurchase the service. Please note that cancellation timeframes exclude weekend days.

Late cancellations and missed appointments acknowledge the time Clinicians have set aside and spent preparing for the appointment, as well as clients on a waitlist who have insufficient time to rearrange their schedules for a short-notice appointment.

We understand that sometimes it is not possible to keep an appointment due to sudden illness or an unexpected emergency. If this is the case, please discuss this with us and we will take it into account when considering whether to waive the no-show or session deduction.

TERMINATION OF AGREEMENT

By making a payment, the Client understands that this is a service requiring a commitment to the minimum term of:

  • 52 weeks for those purchasing Individual or Group Packages

  • 52 weeks for those purchasing Program modules only

  • 26 weeks for those purchasing 6-month intensive individual therapeutic packages

  • 1 session for initial meal plan, fitness plan consults, follow-up consults, or extra therapeutic/supervision sessions

  • 1, 3, or 5 sessions for therapy or eating disorder recovery coaching packages (depending on the package purchased)

 

Given the significant time and effort Clinicians invest in programs and sessions, all resources, services, and packages are non-refundable and non-cancellable by the Client. If the Client decides not to continue with any outstanding sessions, full payment will still be required for the terms as set out in this Agreement. Regardless of whether the Client participates or chooses not to continue, they are legally liable to make all payments. If a payment plan is chosen, the partial payments are split over 12 months. These payments are not for each month or week participated in — they are partial payments for the entire service or program.

The Clinician may terminate this agreement at any time and for any reason. In such an event, where the Client has pre-paid for services, the Clinician will refund payment for any individual therapy, group therapy, or clinical supervision sessions that did not occur.

Should you be on a sale rate, your discounted rate will apply to the above conditions.

CONFIDENTIALITY

Matters discussed with Clinicians in a professional capacity will be kept confidential unless we are authorised by you, your parent, or your guardian to share information — for example, communicating with the Client's treatment team. Clinicians will provide a release form to sign where required.

Breaking Confidentiality

In the event that a Clinician deems the Client to be at imminent risk - a risk to themselves, a risk to others, or in an unsafe situation - the Clinician will need to break confidentiality (even without a signed release form) to ensure the Client remains safe. This may mean contacting the Client's emergency contact, appropriate treatment team member(s), and/or other professionals or services as needed. Only information relevant to keeping the Client safe will be shared.

This is standard practice in the mental health sector and aligns with the New Zealand Association of Counsellors Code of Ethics — Section 6.2a and 6.2c.

ELECTRONIC TRANSMISSIONS AND PRIVACY

Clinicians will do their best to protect the Client's privacy and keep all communications private. However, Clinicians cannot guarantee the privacy of electronic transmissions such as emails, texts, Microsoft Teams, phone calls, or video calls.

DISCLAIMERS

As outlined in the Our Team and Services section above, Sophie Watson is the sole provider of counselling, nutritional support, personal training, clinical supervision, and consultation services. Eating disorder recovery coaches employed by Transformed Therapy New Zealand operate exclusively within the scope of eating disorder recovery coaching. Clients should be aware of which clinician they are working with and the scope of that clinician's qualifications at all times.

The Client understands that the role of Clinicians at Transformed Therapy New Zealand is not to provide health care or medical services, or to diagnose, treat, or cure any disease, condition, or physical ailment. Clinicians act as mentors and guides to help clients reach their own health goals by supporting them to devise and implement positive, sustainable mental health, lifestyle, and nutritional changes, within their respective scopes of practice.

The Client understands that no Clinician at Transformed Therapy New Zealand is acting in the capacity of a doctor, psychologist, psychiatrist, or other registered medical professional, and that any advice given is not meant to take the place of advice by these professionals. If the Client is under the care of a health care professional or currently uses prescription medications, the Client should discuss any dietary changes, potential supplement use, or fitness changes with their doctor, and should not discontinue any prescription medications without first consulting their doctor.

By making any purchase, the Client agrees that Sophie Watson and Transformed Therapy New Zealand cannot be held responsible or liable for any illness, injury, or death arising from working with her and/or her Clinicians. The Client and/or the Client's guardian understand that the Client is responsible for their own decisions and actions. If at any time a Clinician deems it inappropriate to continue the working relationship — due to lack of progress, behaviour, mental state, or physical condition — the Client will be given referrals and will no longer continue to participate until their status changes, at which point they may request the option of working with the Clinician again.

The Client has chosen to engage with Transformed Therapy New Zealand and understands that the information received should not be seen as medical or nursing advice and is not meant to take the place of seeing licensed health professionals.

The following sections contain additional terms specific to your service type. Please select the section that applies to you:

Clients

SECTION 2: GENERAL CLIENT TERMS

Applies to therapy, coaching, nutrition, and fitness clients

EXPECTATIONS

When joining our programs and services, both parties (Transformed Therapy New Zealand and the Client) agree to the following:

  • Show up on time, ready to focus during calls and meetings, and come to each session in a resourceful state

  • Do your best to implement the strategies discussed

  • Be open to ideas and directions that may feel new or different at first

  • Ask questions as they arise

  • Share any concerns and bring them to the attention of your Clinician so they may be resolved as soon as possible

  • It is suggested that you keep a journal or notepad for taking notes during sessions — our team has a lot to share that you will want to refer back to between sessions

  • Cell phones are fine for calls, as long as you are somewhere with a strong signal where you are comfortable speaking openly

 

IN PERSON AND ONLINE EVENTS

All sales are final. Refunds will not be processed if a service is not used or a seminar is not attended.

FOOD, DRINK AND CLOTHING POLICY

All food, drinks, and clothing will be purchased by the person consuming or wearing them. You will buy your own food, drink, and clothing, and Clinicians will purchase their own. If needed, a Clinician can assist with a purchase on your behalf if handing over money is something you are working through — however the money will always be your own.

LIMITED USE OF RESOURCES

Participants may not plagiarise, share, sell, or otherwise redistribute any resources, products, course content, or session material used within this program or service, unless specifically given permission to do so.

ACCESS TO CONTENT

The Client will have access to materials for the duration of their program or package. Once their 52-week membership has lapsed, access to content will be removed. If the Client signs up for additional rounds, they will continue to have access for the duration of that membership. Once that time lapses, access to online content will be removed.

PROGRAM/PACKAGE COMMENCEMENT

Once the Clinician has received the Client's signed confirmation that they have read, understood, and agreed to the terms and conditions outlined on this page, this will be treated as the official start date within the program or package.

APPROPRIATENESS OF TREATMENT

If Clinicians are concerned about the Client's progress or the appropriateness of continuing the working relationship, Clinicians will speak with the Client and work to find ways to improve the situation. We may also contact the Client's treatment team to discuss the matter, with release permitting.

If at any time a Clinician determines the Client is not appropriate for the working relationship — due to severity of illness, lack of progress, inappropriate behaviour, mental condition, or other pertinent reason — we will do our best to speak with the Client and their treatment team (with release permitting) to determine the best next step.

If a Clinician perceives that the Client is expressing a safety risk such as suicidality or intent to harm others, it is the Clinician's duty to immediately report this to appropriate emergency personnel. If time permits and a release has been signed, Clinicians will contact an appropriate member of the Client's treatment team or emergency contact. If a release has not been signed or there is insufficient time, the Clinician will make the best decision possible based on their training and professional judgment.

RESPONSIBILITY FOR CHANGE

By making a purchase, the Client understands that they alone are responsible for making change in their lives and putting the learnings from the package, program, and/or service into action. The Client understands that they are responsible for their own decisions and actions, and that results from our products, packages, and programs may vary.

Supervision

SECTION 3: CLINICAL SUPERVISION TERMS

Applies to supervisees

CLINICAL SUPERVISION — SCOPE AND RESPONSIBILITY

Nature of Supervision

Clinical supervision is provided solely by Sophie Watson.

 

Professional supervision is a reflective and consultative service intended to support clinicians' professional development, ethical practice, and clinical decision-making. It is not a substitute for direct client assessment, treatment, or crisis intervention.

Duty of Care

The supervisee retains full responsibility for all clinical work undertaken with their clients, including but not limited to:

  • Assessment, diagnosis, and treatment planning

  • Risk assessment and management

  • Ethical and legal decision-making

  • Working within their own scope of practice, competence, and professional registration requirements

 

All clinical decisions and actions remain the sole responsibility of the supervisee.

While supervision is provided with due care, skill, and professional integrity, Sophie Watson and Transformed Therapy New Zealand are not responsible or liable for any clinical outcomes, client harm, injury, illness, or death arising from the supervisee's independent clinical practice or decision-making.

The supervisee acknowledges that clinical outcomes vary and that no guarantees are made regarding client progress, symptom reduction, or treatment outcomes. Eating disorder recovery is complex, non-linear, and highly individual.

The supervisee remains responsible for seeking additional supervision, specialist consultation, or emergency support where client risk, complexity, or scope exceeds their level of competence.

By engaging in supervision services, the supervisee confirms they hold appropriate professional indemnity insurance and maintain full responsibility for their own clinical practice.

Consultation

SECTION 4: CONSULTATION SERVICES TERMS

Applies to clinicians, schools, and organisations seeking specialist consultation

CONSULTATION SERVICES — SCOPE AND LIMITATIONS

 

Nature of Consultation

Consultation services are provided solely by Sophie Watson.

 

Transformed Therapy New Zealand offers specialist eating disorder knowledge and advisory input to support clinicians, schools, and organisations in managing complex or concerning cases. Consultation is a time-limited, advisory service and does not constitute clinical supervision, ongoing case management, or a therapeutic relationship with the individual(s) being discussed.

Retention of Clinical Responsibility

The clinician, school, or organisation seeking consultation retains full and sole responsibility for all decisions made regarding the individuals in their care, including but not limited to:

  • Assessment, diagnosis, and treatment planning

  • Risk assessment and management

  • Referral decisions and escalation of care

  • Ethical, legal, and duty of care obligations

  • Actions taken or not taken following consultation

 

Specialist input provided during consultation reflects professional opinion based on the information shared at the time. It does not constitute a formal clinical assessment of the individual concerned, and no clinical responsibility for that individual is assumed by Sophie Watson or Transformed Therapy New Zealand.

Limitations of Advisory Input

Clinical opinions offered in consultation are informed by the information provided by the consultee. Sophie Watson and Transformed Therapy New Zealand accepts no liability for outcomes arising from incomplete, inaccurate, or withheld information, or from the consultee's application or non-application of advice received.

Eating disorder presentation is complex and highly individual. No guarantees are made regarding the accuracy of case conceptualisation based on second-hand information, or regarding client outcomes.

Professional Responsibility

By engaging consultation services, the clinician or organisation confirms they hold appropriate professional indemnity insurance (where applicable) and understands that responsibility for all clinical and organisational decisions remains entirely their own.
